General event information- Both Days

This competition will be run in accordance with NZOF regulations. Please direct any queries during the events to the Event Controllers.

The Map:
All fences except fences running beside roads shown on all maps. The track network is extensive, with numerous indistinct tracks not marked on the map. Some tracks are covered in pine needles so less distinct than usual. Green strips indicate patches of bracken. Green crosses indicate stumps and piles of old logs.

An un-crossable electric fence runs the length of the map. Crossing points are marked on maps, and taped routes must be followed from controls or nearby road, to crossing points.

Any special fence crossing points must be used. These will be provided at places where a large number of runners are expected to cross a fence at about the same point.

Special Description Symbols: O is a water trough, X is a log pile.

Hazards: Unstable fences and gates, Uneven ground, General Farm Hazards.

Out of Bounds: Please observe out of bounds signs surrounding the event centre.

Safety Bearing: Head West to a north-south road, then South to the houses of the Waitarere Beach township.

Health & Safety

All buildings, surrounding yards, and farm equipment are out-of-bounds. Do not approach stock unnecessarily. Go round tightly grouped stock.
Land owners are not responsible for ensuring that any natural hazard or risk associated with orienteering as a recreational activity does not cause harm to competitors or spectators.
First aid will be available at each event

Fences and Gates

Any special fence crossing points must be used. These will be provided at places where a large number of runners are expected to cross a fence at about the same point.

Please take care not to damage fences and gates. All gates should be left as found. Please report any damage to the organisers as soon as you finish. Do NOT assume electric fences will be off.

Dogs

Dogs are not permitted at either event - this includes the parking areas.

Card Punching

Check the control code before punching and ensure you punch firmly in the correct box. Incorrect or illegible punches will lead to disqualification. If you should accidentally punch incorrectly, put the correct punch in one of the high-numbered squares, so you can continue punching in the correct squares.

Start

Please ensure you are at the start area at least 6 minutes prior to your start time. You will be called into the start area 6 minutes before your start time. Late arrivals should report to the start official and will be started at the starter’s convenience.

Finish

Times will be recorded as you pass under the finish banner. Finishing runners will be assigned a sequence number that will be written on the reverse of their clipcard and subsequently matched to the correct finish time. Therefore it is important to stay in the order you finish until your control card and map are taken from you.

If for any reason you decide not to finish your course you MUST hand in your control card to the finish officials. This lets us know that we don’t have to start searching for you at the end of the day.

Results

Provisional results will be displayed on the results board at the finish area as soon as possible and prior to checking punching codes. Enquires regarding finish times and disqualifications should be directed to the Event Controller. Please do not approach the finish or results officials.

Official results will be posted on the website of Orienteering Hutt Valley. No results will be posted out

Water

Water will be available on all courses, and at the finish. Please use a new cup (provided) and place used cups in the rubbish bag.

Complaints and Protests

Any competitor who wishes to lodge a complaint must do so in writing. This must be handed to the Event Controller within 1 hour of the competitor finishing. The Controller will consider the complaint and make a ruling.

If the competitor does not wish to accept the ruling, then a protest must be filed. A fee of $8 will be required for this, which is refundable if the protest is upheld. A jury comprising the Event Controller plus 3 controllers selected from a panel of five will consider protests.

Refer to http://www.mapsport.co.nz/tc/rules00.html for additional information on complaints and protests.

Whistles

Whistles are COMPULSORY. The distress signal is 6 short blasts, rest, then repeat. Use in the case of injury or emergency only. (whistles will be on sale at the event)

Clothing

Competitors should bring a range of clothing to protect from cold and or wet weather. Some areas of the courses may be exposed to wind.

Toilets

Toilets for competitors and spectators will be available adjacent to the carparking areas.

Frank Smith Rules

The Frank Smith Trophy was donated by the Hutt Valley Orienteering Club for an interclub competition within the Wellington Association.

  • Courses/Grade combinations will be the same as the WOA OY series.

  • Points will be allocated to placegetters as follows: 1st 5 points, 2nd 4 points , 3rd 3 points, 4th 2 points, all other placings 1point.

  • Points will be allocated for time as follows: Within 5% of winner's time 5 points, within 10% 4 points, within 30% 3 points, within 50% 2 points, within 100% 1 point.

  • The best 12 individual scores for each club will be totalled to establish the winner of the Frank Smith Trophy. It does not matter which grade the results come from. It is therefore possible for a team of 12 (or even less) to win the event.

  • Calculations are done for males and females separately on a course by course basis, not by grade.

  • With 8 courses, there are potentially 16 winners who get maximum points, and other runners' points are calculated relative to them.
